Subject: Online Meeting Tools @ EIU
Hello All:
In September, the Online Meeting Tools working group at EIU conducted a survey of all employees asking your input on which of the two tools, Zoom or Collaborate Ultra, EIU should support moving forward. The responses to the survey were overwhelming and very much appreciated.
The survey results showed that 82% of the respondents indicated Zoom is the best tool for EIU when compared to Collaborate Ultra. From January 1 to May 31 of this year, 24,827 meetings were conducted using EIU Zoom accounts. Only 777 meetings were conducted in Collaborate Ultra during that same time frame. The survey showed that 57% of users reported being dissatisfied with Collaborate Ultra whereas 87% of users reported being satisfied with Zoom. A summary of the survey results can be found here.
As a result, Collaborate Ultra will be discontinued when the contract ends on June 30, 2022.
Note: Microsoft Teams will be retained as it is part of our campus-wide Microsoft agreement.

If you currently use Collaborate Ultra, how can you prepare?
- Decide when to start using Zoom: You may want to transition from Collaborate Ultra to Zoom beginning with Spring term or if you prefer, you can wait until Summer term.
- Register for a Zoom Your Way online training session. In this one-on-one session, you will learn more about your EIU Zoom account, conducting Zoom meetings, and integrating Zoom in D2L. You schedule the session at a time convenient for you and select the Zoom topics you want to learn more about. To register, go to http://eiu.gosignmeup.com.
- If you want to save your existing Collaborate Ultra recordings:
- Download the Collaborate Ultra recording:
- Tutorial: How to download a Collaborate Ultra recording from D2L
- Upload the recording to Kaltura if you want to share the recording
- Tutorial: How to upload a video to Kaltura
- Tutorial: How to embed a Kaltura video in D2L
- Access your EIU Zoom Account: If you haven’t accessed your EIU Zoom account, log in with your EIU credentials at http://eiu.zoom.us.
- Add Zoom to your course in D2L: When you are ready to begin using Zoom in your course in D2L, add Zoom to your course.
