Exhibitor Rules
- EIU Comic Fest welcomes the application of artists, authors, vendors, comic bookstores, publishers, and other related individuals and groups to appear at the artists alley.
- Exhibitor spaces are $20 each, and up to one adjacent space may be rented for an additional $20 by a single exhibitor. This fee is waived for EIU departments, groups, students, staff, and faculty.
- Accepted exhibitors will receive information on payments. Payments will be made online. Registration is not complete until payment has been received and acknowledged. Please contact the EIU Comic Fest should you not have received notification of your application within three weeks of submission of payment.
- Exhibitor spaces are 8’ x 5’ and include a table and two chairs provided by EIU. No back drops, table skirts, or cellular/internet data is provided by EIU. Approximately 15 exhibitor spaces will be available.
- Exhibitor space assignments will be made at the discretion of EIU and Booth Library.
- Exhibitors will be permitted to set up in Booth Library from 8 am to 10 am on Saturday, September 27, 2025. During setup you may be asked to present a valid ID to verify you are the registered party.
- EIU Comic Fest will take place 10 am to 4 pm on Saturday, September 27, 2025. Teardown will take place 4 pm to 5:30 pm on Saturday, September 27, 2025.
- Exhibitors are required to wear badge identification provided by EIU Comic Fest.
- Do not tape, tack, staple or generally attach things to Booth Library’s walls or floors.
- Exhibitors will set up only within their assigned areas. Special requests may be made during the application process. Do not set up outside your assigned area or elsewhere in the library or on campus.
- Exhibitors can bring their own chairs and setup materials as long as it fits within the allocated space.
- Exhibitors should report any theft to a staff member so that campus police may be contacted. Booth Library and Eastern Illinois University does not provide exhibitor’s insurance for damage, loss, theft, harm, or injury for exhibitors.
- Exhibitors will not play audio or video devices during EIU Comic Fest.
- Exhibitors are responsible for obtaining all state licensing or permits, paying any and all taxes, and complying with all local, state, and federal laws, including trademark/copyright.
- Exhibitors will abide by all EIU policies and internal governing policies, including #174 - Diversity, Nondiscrimination, and Affirmative Action; #190 – Weapons; and #171 - Tobacco-Free Campus. Specifically, materials of an adult or explicit nature are not permitted. EIU reserves the right at its sole discretion to direct exhibitors to remove any material deemed in violation of EIU policies. Failure to comply will result in exhibitor's removal.
- Exhibitors’ names may be used in EIU Comic Fest promotional materials and listed in any directory (print, electronic, or other media) for the event. Photographs of the vendor space may be used during and after the event for promotional purposes.
- Exhibitors may request copies of promotional materials produced by EIU Comic Fest. Exhibitors may not alter EIU Comic Fest promotional materials or logo.
- Registration in EIU Comic Fest and Artists Alley is non-transferrable.
- Exhibitors will hold Eastern Illinois University harmless for any lost revenue as a result of either table placement, event attendance, damage (loss, accident, theft, or other cause), or cancellation of the event.
- Non-University organizations are required to provide the University with proof of insurance for $1,000,000 liability coverage for property damage, bodily injury and/or personal injury. Certificate Holder must be made out to Board of Trustees -Eastern Illinois University - 600 Lincoln Avenue – Charleston, IL 61920. Insurance can be purchased through Eastern Illinois University at 217-581-2921.
